Public Defense office in Manhattan seeks a highly competent Administrative Assistant to provide clerical support, working collaboratively with other administrative staff members to aid in our clients’ superior legal representation.

Job ResponsibilitiesResponsibilities include, but are not limited to, the following:

  • Handling and screening incoming phone calls receiving/directing visitors and attending the front desk area when assigned
  • Data Entry of case files into our case management system
  • Maintaining information in our case management system;
  • Drafting letters, emails, creating and utilizing spreadsheets
  • Labeling files, filing folders and maintaining file room
  • Transcribing CDs, DVDs, telephone conversation, etc.
  • Restocking of supplies and light lifting, up to 30 pounds
  • Photocopying, faxing, scanning, preparing, sorting and distributing mail
  • Notarization of legal documents and
  • Covering arraignment shift when needed

Administrative Assistants will be trained and expected to have working knowledge of the following:

  • Arraignment clerical procedures
  • Office procedures: Opening (AM) Closing (PM)
  • Restocking supplies and creating a list for reordering
  • Process serving and legal documentation delivery

Bilingual administrative assistant are expected to translate phone calls, video conferences, written documents, client in-office meetings, correctional facility visits and pre/post court appearances, as needed.

Job Requirements: Associate’s Degree or three (3) years related work experience.

 Notary Public license, sponsored by us and obtained once employed.

Skills: Proficiency in Microsoft Office, especially Microsoft Excel and  Microsoft Word. Knowledge of the Internet. Excellent time management skills and the ability to prioritize work. Attention to detail and problem solving skills. Strong written and verbal communication skills. Strong organizational skills with the ability to multi-task. Must be able to exercise sound judgement and an ability to remain calm under pressure. Ability to manage multiple working relationships with professionalism.  Bilingual in Spanish/English or Mandarin/English preferred.

The salary for this position is $ 55,000
